Return Management – Receiving Processes

CASO SURVEY SERVICES has developed robust receiving processes that are tailored to our clients’

Once a survey has been completed, the questionnaires may be mailed individually using our business
reply mail permit or returned in bulk for scanning and data extraction.

Material Returned in Bulk

When materials are returned via a freight carrier, such as FedEx or UPS, CASO SURVEY SERVICES
confirms their receipt in our client interface – SASTrack. This gives clients a quick overview of
which materials have been received and from whom, in the case of multiple locations.

Upon receipt, boxes are opened and, depending on client requirements, we can:

 Log every survey/test ID;

 Hand or weigh count records;

 Inspect and separate ancillary materials from documents to be scanned;

 Record counts of the number of unused and used documents.

Material Returned by Business Reply Mail

When materials are returned via the US Postal Service, there is usually only one survey per
envelope. CASO SURVEY SERVICES manages multiple projects by marking the return envelopes with the corresponding project ID. This allows us to easily sort the mail and record the number
of returned surveys.

Upon receipt, surveys are extracted from their envelopes and, depending on client
requirements, we can:

 Log every survey ID;

 Inspect surveys for completeness and/or qualifying questions;

 Review comments for any high-risk statements;

 Inspect for ancillary materials, such as additional documentation, pictures, etc., and


Depending on the nature of the survey, materials may require additional preparation before
they can be scanned. For example:

 Booklets need to have their spines removed;

 Folded documents need to be opened to their full size;

 Staples and paperclips need to be removed.

Once we have completed these preparation tasks, forms are assigned batch-tracking sheets and
routed to the scan center for data collection.
